Create a New Condition Assessment Type - Condition Assessment
Condition assessments are forms you can create and fill out in
NEXGEN to evaluate the condition of an asset. These are compiled in the asset
record to contribute to that asset’s historical data. This article describes how to create a new condition assessment type in the User Defined module.
Navigate to the User Defined Module
To navigate to the User Defined module:
- Click Settings in the blue navigation bar.
- Click Setup.
- Click User Defined.
Create a New Condition Assessment Type
- Navigate to the User Defined module.
- Click +Add on the left hand sidebar.
- If the sidebar is not visible, click the 3 horizontal lines next to the word NEXGEN to expand the left sidebar.
- Click CA Type and fill out the fields in the pop-up.
- Assessment Type: The name of the new assessment type
- Active checkbox: Whether the assessment type is active (uncheck this if the assessment type is no longer being used or if you want to fully configure the CA before making it visible to end users)
- Show Previous checkbox: Determines whether users who fill out condition assessments can see the previous score given for each field
- You can keep this unchecked to hide the previous score and prevent any potential bias when assigning new scores.
- Click +Add. The pop-up will close.
- To finish configuring your CA, follow the steps in the Create CA Type Fields section below.
Create CA Type Fields
CA type fields ask technicians to give a condition score using a 0-5 or 0-10 scale. The weight of each score contributes to the asset's overall ACI (condition) score. All CAs need CA Type Fields to appropriately rate an asset's condition. Follow the steps below to configure your fields.
- From the User Defined module, select the CA type you created in the hierarchy tree on the left. (To create a CA, see Create a New Condition Assessment Type).
- Click +Add in the CA Type Fields section to create new fields for your CA type. When finished filling out the following fields, click the Add button to save.
- Name: The name visible to end users. This is what will help users identify what criteria they are rating the asset against.
- Comments: Backend comments visible to administrators and users configuring CAs. To add a rating guide please see Add a Rating Guide to a Condition Assessment Field - Condition Assessment.
- Weightage (weightage of field; how much the field's score contributes to the asset's ACI): Uses a 0-100% scale. All CA type fields should add up to 100%.
Note: Weightage must add up to 100%. If the weightage does not add up to 100, the CA Type Fields header will indicate this in red.
Create UDFs for a Condition Assessment Type
UDFs capture additional information without contributing to an asset's ACI score.
- Select the new CA type you created in the hierarchy tree to the left.
Click +Add in the User-Defined Fields section and fill out the fields in the pop-up.
- Name: The name of the field as seen in the back end (we recommend not using spaces)
- Caption: The name of the field as seen by front end users
- Field Type: Indicates whether the field is a text box, checkbox, drop-down list, etc.
- Length: The available length of the data entered in the UDF (e.g., a length of 500 would allow 500 characters if the field type is a text box)
- Data Type: Populates according to the field type
- UDF option checkboxes
- Mandatory: Marks the UDF as mandatory
- Editable: Required if the user needs to enter data in the UDF
- Calculated: Used for backend configurations and/or integrations
- Hidden: Used primarily for integrations or to hide obsolete UDFs
- Show in Search: Makes the UDF show up as a search parameter within NEXGEN modules
- Click +Save. Repeat for any additional UDFs you would like to add to the condition assessment type.
Tip: The maximum character length for UDFs is 1000.
Tip: Add a Rating Guide
Rating guides can help users better understand what score to give on CA type fields. For example, the image below shows what a web user filling out a condition assessment will see if a guide has been created and the user clicks the About Ratings button on a CA type field.
