Standard NEXGEN Notifications - Notifications

NEXGEN features a variety of stock system notifications users can turn on for users/user groups and can customize to fit their needs. For a list of each standard notification available in NEXGEN, please review the tables below. 

Agreement Requisition

Notification
Expected Functionality
An agreement requisition is created in the system User is notified when an agreement requisition is created in the system.
An agreement requisition needs my approval. User is notified when an agreement requisition needs their approval and they are the supervisor of the requestor. 
An agreement requisition approver has been marked inactive in the system. User is notified if an agreement requisition employee record that is associated to an an agreement requisition approval is marked inactive.
An agreement requisition that needs my approval has been created. User is notified when an agreement requisition needs their approval. 
An agreement requisition is rejected. User is notified when an agreement requisition is rejected.
My agreement requisition has been approved. User is notified when their agreement requisition is approved.
An agreement requisition has changed status. User is notified when an agreement requisition changes status.
My agreement requisition is ready for pickup. User is notified when an agreement requisition is ready for pickup.
An agreement requisition is 1 day away from its date needed. User is notified 1 day before an inventory requisition reaches its "Date Needed".
An agreement requisition is 1 week away from its date needed. User is notified 1 week before an agreement requisition reaches its "Date Needed".


Asset Inventory

Notification
Expected Functionality
An asset has been checked to me. User is notified if an asset is checked-out to them. (Check In/Out feature must be used)
An asset's status has changed to active. User is notified if an asset's status changes to active.
An asset has been deleted. User is notified when an asset is deleted.
An asset's status has changed to inactive. User is notified if when an asset's status changes to inactive.
An asset is 30 days away from its warranty expiration. User is notified if any asset's expiration date is expiring within the next 30 days.
An asset is 60 days away from its warranty expiration. User is notified if any asset's expiration date is expiring within the next 60 days.
An asset is 90 days away from its warranty expiration. User is notified if any asset's expiration date is expiring within the next 90 days.
An asset has been created. User is notified when a new asset is created.


Condition Assessment

Expected Functionality
My department has been added to a condition assessment. User is notified if their assigned department is added to a condition assessment.
My division has been added to a condition assessment. User is notified if their assigned division is added to a condition assessment.
I have been added as the supervisor on a condition assessment. User is notified if they are added as the supervisor on a condition assessment.
I have been added as the lead on a condition assessment. User is notified if they are added as the lead on a condition assessment.


Comments

Notification

I have been tagged in a comment. User is notified if they are tagged in a comment.


Cycle Count

Notification
Expected Functionality
I have been added as the initiated by on a cycle count. User is notified if their employee record is added to the Initiated By field
I have been added as the assigned to on a cycle count. User is notified if their employee record is added to the Assigned To field


External Service Request (311 Portal)

Notification
Expected Functionality
A 311 portal service request is unsynced and needs to be mapped. User is notified if a Service Request is added from the 311 portal that is not mapped correctly.



Inspection

My department has been added to an inspection. User is notified if their assigned department is added to an inspection.
My division has been added to an inspection. User is notified if their assigned division is added to an inspection.
I have been added as the supervisor on an inspection. User is notified if they are added as the supervisor on an inspection.
I have been added as the lead on an inspection. User is notified if they are added as the lead on an inspection


Flushing

Notification
Expected Functionality
My department is added to a flushing inspection. User is notified if their assigned department is added to a flushing inspection.
My division is added to a flushing inspection. User is notified if their assigned division is added to a flushing inspection.
I have been added as the supervisor on a flushing inspection. User is notified if their employee record is added as the supervisor on a flushing inspection.
I have been added as the lead on a flushing inspection. User is notified if their employee record is added as the lead worker on a flushing inspection.



Predictive Maintenance

Notification
Expected Functionality
My crew has been added to a predictive maintenance template. User is notified when their crew is added to a predictive maintenance template.
I have been added as a resource on a predictive maintenance template. User is notified when they are added as a resource on a predictive maintenance template.
I have been added as the supervisor on a predictive maintenance template. User is notified when they are added as the supervisor on a predictive maintenance template.
I have been added as the lead on a predictive maintenance template. User is notified when they are added as the lead worker on a predictive maintenance template.
My department has been added to a predictive maintenance template. User is notified when their assigned department is added to a predictive maintenance template.
My division has been added to a predictive maintenance template. User is notified when their assigned division is added to a predictive maintenance template.
Notify the Contractor on a Predictive Maintenance  Contractor is notified when they are added to a predictive maintenance template.
A predictive maintenance template has been unscheduled. User is notified when a predictive maintenance template is marked as unscheduled. (Scheduled flag is off).


Preventive Maintenance

Notification
Expected Functionality
I have been added as a supervisor on a Preventive Maintenance record. User is notified when their employee record is added as a supervisor on a Preventive Maintenance record.
I have been added as a lead on a Preventive Maintenance record. User is notified when their employee record is added to the lead filed on a Preventive Maintenance record.
My department has been added to a Preventive Maintenance record. User is notified when their department is added to a Preventive Maintenance record.
My crew has been added to a Preventive Maintenance record. User is notified when their crew is added to a Preventive Maintenance record.
I have been added as a resource on a Preventive Maintenance record. User is notified when they are added as a resource on a preventive maintenance template.
A Preventive Maintenance schedule has been unscheduled. User is notified when a preventive maintenance schedule has been unscheduled.


Project

Notification
Expected Functionality
A project has changed status. User is notified when the status of a project is updated.
A project has changed priority. User is notified when the priority of a project is updated.
The cost of a project has exceeded its estimate. User is notified when the actual cost of a project exceeds the estimate.


Purchase Order


Notification
Expected Functionality
Notify the Vendor on a Purchase Order that they have been added as a Vendor. Notification does not affect NEXGEN users and users do not need to subscribe to notification. When enabled, vendors added to POs with a valid email address will be contacted.
My department is added to a purchase order. User is notified when their assigned department is added to a purchase order.
My division is added to a purchase order. User is notified when their assigned division is added to a purchase order.
The status of a purchase order has been updated. User is notified when the status of a purchase order is updated.
I have been added as the requester on a purchase order. User is notified when they are added as the requester on a purchase order.
The status of a purchase order has been updated from RFQ. As of the July 2023 sub-status build, this notification has been made obsolete.
A person I supervise has been added as the requester on a purchase order. User is notified if someone they supervise is added as the requester on a purchase order.
A purchase order that has me as the requester has received new items. User is notified if they are the requester on a purchase order and the purchase order receives new items.
A purchase order that has me as the requester has a total amount that has exceeded $500. User is notified when they are listed as the requester on a purchase order and that purchase order total amount is higher than $500.
A purchase order that has me as the requester has a total amount that has exceeded $1000. User is notified when they are listed as the requester on a purchase order and that purchase order total amount is higher than $1000.
A purchase order that has me as the requester has a total amount that has exceeded $5000. User is notified when they are listed as the requester on a purchase order and that purchase order total amount is higher than $5000.
A purchase order that has me as the requester has a total amount that has exceeded $10000. User is notified when they are listed as the requester on a purchase order and that purchase order total amount is higher than $10000.
A purchase order that has me as the requester has items that have reached their due date. User is notified when they are listed as the requester on a purchase order and that purchase order has items that have reached their due date.


Inventory Requisition

Notification
Expected Functionality
An inventory requisition that needs approval has been created. User is notified when a new inventory requisition that requires approval is created.
My inventory requisition has been approved. User is notified when their inventory requisition moves into the Approved status.
My inventory requisition needs approval. User is notified when their inventory requisition needs approval.
A requisition is due in 1 day. User is notified when an inventory requisition is within 1 day of its "Date Needed".
An inventory requisition needs my approval. User is notified if they need to approve an inventory requisition.
A stock inventory requisition approver has been marked inactive. User is notified if an inventory requisition approver is marked inactive in the system.
My inventory requisition has been rejected by the approver. User is notified if the inventory requisition they submitted was rejected.
My inventory requisition has been passed to my immediate supervisor. User is notified when their inventory requisition approval is passed to their immediate supervisor.
My inventory requisition is ready for pick up. User is notified if their inventory requisition items have been picked.
A new inventory requisition has been created. User is notified if an inventory requisition is created.
An item requisition needs my approval. User is notified if an inventory requisition requires their approval.
My inventory requisition has changed status. User is notified when inventory requisition changes status.
My inventory requisition has been partially issued. User is notified if part of their inventory requisition has been issued.
My inventory requisition has been issued. User is notified if their inventory requisition has been fulfilled.
My inventory requisition has been shipped and issued. User is notified when inventory requisition is shipped and issued.
Me or my department have been added to an inventory requisition as the Assigned To. User is notified if they are or their department is added to the Assigned To field on an Inventory Requisition.


Non-Stock Inventory Requisition

Notification
Expected Functionality
A non-stock inventory requisition has been created. User is notified if a non-stock inventory requisition is created.
A non-stock inventory requisition has been created and needs my approval. User is notified if a non-stock inventory requisition needs their approval.
My non-stock inventory requisition needs approval. User is notified if their non-stock inventory requisition requires approval from their supervisor.
My non-stock inventory requisition has been approved. User is notified if the status of their non-stock inventory requisition has been updated.
A non-stock inventory requisition approver has been made inactive. User is notified if a non-stock inventory requisition approver has been made inactive in the system.
My non-stock inventory requisition has been rejected. User is notified if their non-stock inventory requisition has been rejected.
My non-stock inventory requisition has been approved. User is notified if their non-stock inventory requisition has been approved.
A non-stock requisition is due in one day. User is notified when a non-stock requisition is due in one day.
A non-stock requisition is due in one week. User is notified when a non-stock requisition is due in one week.


Report

Notification
Expected Functionality
A scheduled report has successfully sent. User is notified if their report was sent successfully.
A scheduled report has run into errors while sending. User is notified if their report ran into errors when attempting to send.


Service Request

Notification
Expected Functionality
I have been added as the requested by on a service request. User the notified when they are added as the Requested By on a Service Request record.
I have been added as the lead on a service request. User is notified when they are added as the Lead on a Service Request record.
I have been added as the supervisor on a service request. User is notified when they are added as the Supervisor on a Service Request record.
My department has been added to a service request. User is notified when their Department is added to a Service Request record.
I have been added as a resource on a service request. User is notified when they are added as a resource on a Service Request record.
My service request is past its due date. User is notified when their Service Request is past its End Date.
I have reached my resource date on a work order. User my notified if their reached was Date Resource.
My division has been added to a service request. User is notified when their Division is added to a Service Request record.


Training

Notification
Expected Functionality
I have a training in one month. User is notified 1 month prior to their Next Training date.
I have a training in one week. User is notified 1 week prior to their Next Training date.
My training is one month away from expiring. User is notified 1 month prior to their training Expiration date.
My training is one week away from expiring. User is notified 1 week prior to their training Expiration date.
I have a training due in six months. User is notified 6 months prior to their Next Training date.
I have a trainining scheduled for today. User is notified the day of their Next Training date.
My training is expiring today. User is notified the day of their training Expiration date.
My training is six months away from expiring. User is notified 6 months prior to their training Expiration date.
A training has been added for me. User is notified if a training has been associated to their employee record.
One of my trainings has been removed. User has notified if a training associated to their employee record is removed.
One of my trainings has been updated. User is notified if their training information has been updated.

User

Notification
Expected Functionality
A new user has registered to NEXGEN. User is notified if a new user has registered to NEXGEN and needs to be assigned a user group.

Warehouse

Notification
Expected Functionality
A warehouse item has been transferred to a an employee. User is notified if an item has been transferred to an employee to hold.
A warehouse item has been transferred from an employee's inventory. User is notified if an item has been transferred out of an employee's inventory.
A warehouse inventory item has fallen below its set minimum quantity. User is notified if an item has fallen below the item's minimum quantity.
A warehouse item's inventory quantity has been positively adjusted manually. User is notified when an item has had a manual positive adjustment.
A warehouse item's inventory quantity has been negatively adjusted manually. User is notified when an item has had a manual negative adjustment.
Previously received warehouse items have reached their expiration date. User is notified when an item's LOT has reached its expiration date.


Work Order

Notification
Expected Functionality
I have been added as the lead on a work order User is notified when they are added as the lead on a work order.
I have been added as the supervisor on a work order User is notified when they are added as the supervisor on a work order.
My department has been added to a work order User is notified when their department is added to a work order.
My division has been added to a work order User is notified when their division is added to a work order.
My crew has been added to a work order. User is notified when their crew is added to a work order if they are listed as a resource for the crew.
I have been added as a resource on a work order User is notified when they are added as a resource on a work order.
I have been added as the requested by on a work order. User is notified when they are added as the requested by on a work order.
My work order has been marked as a lock out/tag out work order. User has notified if their order was marked with the LOTO flag.
My work order is late. User workorder notified if their order is past its End Date.
My work order has been marked as a safety work order. User is notified if their work order was marked with the Safety flag.
My work order has been marked as a planned outage. User is notified if their order was marked with the Planned Outage flag.
My work order has been marked as an unplanned outage. User is notified if their work order was marked with the Unplanned Outage flag.
My work order has been linked to another work order. User is notified if their order was linked to another work order.
Resource estimates on a work order are lower than the actual resource costs. User is notified if the resources estimated costs on a WO are lower than the actual costs.
Notify the Contractor on a work order that they have been added to a work order. Notification does not affect NEXGEN users and users do not need to subscribe to notification. Notification must be left active in the system for contractors to be notified of assigned WOs.
An item on a work order is on backorder. User is notified when an item on any work order is on backorder.
A work order linked to my work order has been closed. User is notified when a work order linked to a work order where they are listed as the Requested By, Supervisor, Lead, or Resource is changed to the Complete or Closed status.
