User Record Field Definitions

Fields are organized in order of appearance on the user record starting from the top left.

  • Username - Username used when logging into NEXGEN proper. 
    • (Single Sign-On Only: Usernames for all your user records will vary depending on the mapping your team has used. Regardless of what has been entered as the user username, employees will log into NEXGEN using their single sign-on credentials [typically their work email/password])
  • Employee Name - View only field. Once a user has been linked to an employee, the Employee Name will be visible.
  • Email - The email associated with the user record.
  • Contact Number - The phone number associated with the user record. A phone number capable of receiving SMS should be entered IF the user would like to subscribe to SMS alerts.
  • Active - Indicates if the user record is active in the system. Inactive users cannot log into NEXGEN. Inactive users can only be seen in the User module IF the "Show All" toggle is turned on.
  • Session Timeout (In Minutes) - Indicates the period of time the user can be logged into NEXGEN without activity before they are forced to log back into the system. This feature can also be set at the company level. If a session timeout is set at the company level, null values will be ignored.
  • Password Question - If indicated, the Password Question works in conjunction with the Password Answer field. Enter in a password question/answer for a user to respond to before getting access to the "Password Reset" function.
  • Password Answer - If indicated, the Password Answer must be accurately entered when attempting to reset a user password. This validation will only occur when a user is attempting to reset their password AND they are logged out of the system. System Administrators attempting to reset a user password will not receive this validation.
  • Comments - An internal notes field that applies to the specific user.
  • User Must Reset Password on First Login - If selected, the user must reset their password at first log in.
  • User Cannot Change Password - If selected, users must reach out to their NEXGEN System Administrator to change their password.
  • Locked Out - If selected, the user is locked out of the system and cannot log in. The flag must be manually turned off prior to users gaining access to NEXGEN.
  • Generate Calendar - If selected, an ICS calendar link will be generated for the user. The calendar will only show WOs that have been scheduled for the user.
