User Group Permission Definitions

We're going through some changes! As we continue to make improvements to our software, we are changing how our permission options affect end users. Because of this, you may notice that some permissions are listed as not in use. Thank you for your patience as we work on updating our user experience!

811

Checkbox

Permission

Add

Allows user to create a new 811 ticket record.

Cancel

Allows user to change 811 ticket status to "Cancel" if "Modify" permission is also granted.

Close

Allows user to change 811 ticket status to "Close" if "Modify" permission is also granted.

Complete

Allows user to change 811 ticket status to "Complete" if "Modify" permission is also granted.

Delete

Allows user to delete a 811 ticket record.

Modify

Allows user to edit existing 811 tickets.

Open

Allows user to change 811 ticket status to "Open" if "Modify" permission is also granted.

Reopen

Allows user to reopen an 811 ticket once it has been "Closed" or "Cancelled" if "Modify" permission is also granted.

Search

Allows user to view the search feature options in the 811 module.

Update Multiple

Allows user to use the "Multiple Edit" function in the 811 module.

Upload Files

Allows user to add and view attachments on 811 ticket records. 

**Note: User must also have "View" permission for Document Library in order to add attachments from the Document Library.

View

Allows user to access the 811 ticket module.



Purchase Requisition (Agreement)

Asset Inventory

Checkbox Permission
Add
Allows user to create a new asset from the user interface or by using the data import tool. Allows user to create child assets.

User can also view the following options under the "Action" dropdown:
  1. Add as Equipment
  2. Check In/Out
  3. Clone
  4. Additional Asset Info
**Note user will not be able to use the "Add as Equipment" feature for Asset Inventory unless the "Add" permission is given under the Equipment module as well.
Data Import
Allows user to use the asset inventory data import tools.

**Note user must also have the appropriate permissions to access the Data Import tool.
Delete Allows user to delete an asset record and allows user to delete attachments from an asset record. 

**Note: Delete permission must also be checked under "Document Library" for user to delete attachments from asset record.
Delete Attachment
Allows user to delete an attachment on an asset inventory record. 
Delete Meter Readings Allows user to delete a meter reading.
Modify Allows user to edit fields in the top zone of the asset record as well as any UDF fields (except GIS Attributes). Allows user to attach existing assets as child assets, attach items, attach vendors, and add meter readings to an asset record.
Refurbish Asset
Allows user to initiate the "Asset Refurbishment" workflow and see the "Refurbish Asset" button under the Action button on an asset record page.
Replace Asset
Allows user to initiate the "Asset Replacement" workflow and see the "Replace Asset" button under the Action button on an asset record page.
Reset Meter Allows user to reset meter reading.
Search Allows user to use the search sidebar within the Asset Inventory module and search for assets when adding assets to records (ex. Work Orders, PMs, etc.).
Update GIS Attributes Allows user to update GIS attributes on the asset record as long as the GIS administrator has allowed editing. 

**Note: The GIS attribute must also have the "Edit" box checked on the GIS layer page within NEXGEN and the layer must be a feature service.
Update Multiple Allows user to use the "Multiple Edit" tool within the Asset Inventory. Allows user to generate new (or add to existing) condition assessments, preventive maintenance, and work orders for multiple assets.
Upload Files Allows user to view and add attachments to an asset record. 

**Note: User must have "View" permissions for the Document Library in order to add attachments from the Document Library.
View
Allows user to view the Asset Inventory icon on the NEXGEN dashboard sidebar. Allows users to view asset records if clicked from other records (ex. a work order).

** Note: User must have "Search" permission checked in order to search for asset records within the asset inventory.


Asset Plan

Checkbox Permission
Add Allows user to create a new class of assets from either the Asset Plan module or the Asset Inventory module.
Delete Allows user to delete attachments from the asset plan record if user also has Delete permission in Document Library.
Modify Allows user to edit Asset Plan details including the "Tasks" and items in right side panel.
Upload Files Allows user to add and view attachments on asset plan records

**Note: User must have "View" permissions for the Document Library in order to add attachments from the Document Library.
View Allows user to view Asset Plan module and asset plan record for a class of assets. Allows user to leave a comment on the asset plan record.



Asset Process

Add Allows user to create a new process for the asset inventory process tree.
Delete Allows user to delete an existing process from the asset inventory process tree.
Modify Allows user to edit an existing process in the asset inventory process tree.
View
Allows user to view the asset process tree in the asset inventory.


Auto Number Options

Modify Allows user to edit auto-numbering settings.

Backflow

Add Allows user to add a new Backflow asset.

** Note: User must have relevant Customer module permissions to associate a customer to a Backflow record.
Print Letters Allows user to use the "Print Letters" feature.
Search Allows user to access the search sidebar within the Backflow module.
Update Multiple Allows user to use the "Multiple Edit" tool in the Backflow module.
Upload Files
Allows user to add and view attachments on Backflow records.

Budget

Modify Allows user to enter a budget by location or department and project a budget over a span of years.

Chat

Delete Allows user to delete a condition assessment record and delete attachments.
Hold

Modify Allows user to update fields in the information zone for existing condition assessment records. 
Open
Allows user to change status to "Open" if "Modify" permission is also given.
Reopen
Allows user to reopen a closed or cancelled condition assessment if "Modify" permission is also checked.
Search Allows user to use Search tools in module.
Update Multiple Allows user to use the "Multiple Edit" tool within the Condition Assessment module.

**Note: User must have the "Access Contractor Portal" permission under the "Employee" section in order to view and edit contractor records that have been added to the contractor portal.

Upload Files Allows user to add and view attachments on contractor records.

**Note: User must have "View" permissions for the Document Library in order to add attachments from the Document Library.

Crew

**Note: User must also have the delete function on relevant modules to delete attachments on those records.
Search Allows user to use search tools in the Document Library module and when using the "Add from Library" attachment shortcut.
View Allows user to view the Document Library module.


Employee

Checkbox Permission
Access 311 Service Allows user to configure the 311 portal and view 311 portal settings.
Access Contractor Portal Allows user to view the Contractor Portal configuration settings and make edits.

**Note: Clients must have the Contractor Portal as a part of their NEXGEN scope in order to access the contractor portal.
Add Allows user to create an employee profile.
Add Back Up
Allows user to add a "Requisition Approval Backup" to an employee record.
Add Timeoff
Allows user to view employee "Time Off" Zone and to add time off to the employee record.
Delete Allows user to delete an employee profile.
Modify Allows user to make edits to the following zones on an employee profile:
  1. Work Schedule
  2. Important Information
  3. Employee Training
Return From Requisition Allows user to return items from the receiving module if user also has Receiving Module permissions.
Search Allows user to use the search bar to search/filter for employee records. A user must have the search permission in order to view inactive employee records.
Show Rates Allows user to view employee rates across modules. Users can also view contractor and equipment rates and can enter/adjust  employee, equipment, and contractor costs when adding resources to a work order.
Update BackUp
Allows user to make edits to an employee record's "Requisition Approval Backups" zone.
Update Multiple Allows user to use the "Multiple Edit" tool in the Employee module.

Allows user to and and view attachments on employee records.

Add Allows user the option to create a new form.

**Note: User must have "View" and "Search" permissions for the "Asset Inventory" section since the "Asset" field is required when creating a flushing record.
Close Allows user to change status of flushing record to "Close" if "Modify" permission is also granted.
Delete Allows user to delete flushing records.
Modify
Allows user to update fields in the top zone of an existing flushing record. User can also change the status of the record to Review and can edit Asset UDFs from the flushing module record. 
Open Allows user to change the status of a flushing record to "Open" if "Modify" permission is also granted.
Reopen Allows user to reopen a closed flushing record if "Modify" and "Open" permission are also granted.
Search Allows user to view and use the search sidebar in the Flushing module.
Update Multiple Allows user to use the "Multiple Edit" function in the Flushing module.
Upload Files Allows user to view and upload files to a Flushing module record.

Allows user to view and access the Flushing module.


GIS

Checkbox Permission
Add Allows users to create a service request, work order, condition assessment, PM/PdM, and/or a form  for assets from the map.
Search Allows user to search for an address within the GIS module. This allows the user to view the "Search for Address" bar.
View Allows user to access the GIS module.



GIS Integration

Checkbox Permission
Add Allows user to add a group or layer in the GIS Integration module. User can also use the "Prepare" button with this permission.
Delete
Allows user to delete layers from the NEXGEN system.
Modify Allows user to edit GIS Integration configurations and make changes to layer settings. Allows user to "Sync" layers. Also allows user to query GIS data in the GIS module.

**Note: User must have "Update GIS Attributes" permission for Asset Inventory in order to make edits to GIS Asset Attributes.
View Allows user to view GIS Integration settings. Also allows user to view an asset's GIS attributes when using the identify tool in the GIS module.



Form

Checkbox Permission
Add Allows user to create a new Form record.

**Note: User must also have Asset Inventory "View" and "Search" permissions in order to save an asset based Form record since the asset field is mandatory.
Close Allows user to close a Form record if "Modify" permission is also granted.
Delete Allows user to delete a Form record as well as any attachments on the record.
Modify Allows user to make edits to a Form record.
Open
Allows user to change the status of a Form to "Open" if "Modify" permission is also granted.

**Note: User must also have the "Modify" permission in order to change the status of the Form.
Search Allows user to view and use the search sidebar in the form module.
Update Multiple Allows user to use the "Multiple Edit" tool in the Form module.

**Note: User must also have the "Open" and "Close" permissions in order to open and close multiple work orders.
Upload Files Allows user to add and view attachments on a Form record.

Location

Add Allows user to add a location to the asset inventory and warehouse inventory location trees.

Inventory Requisition

Checkbox Permission
Add Allows user to create a new Inventory Requisition from the Inventory Requisition module. Organizations with Controlled Inventory will also need to give this permission to users that need to add items to Work Orders. The cart checkout feature will only be visible when this permission is given.

**Note: User must also have Store module permissions in order to create an inventory requisition.
Allow Picking Quantity Used to enable/disable IR's Picked Quantity input field. Also hides/shows pick from other location and hides/shows add to pick list.
Complete Allows user to mark an inventory requisition as complete.
Delete Allows user to delete an inventory requisition record.
Modify Allows user to issue items on an inventory requisition and edit the account number.
Reject Allows user to reject an inventory requisition even if the user is not the designated approver. 
Search Allows user to view and use the search sidebar within the Inventory Requisition module.

Add Allows user to add time to a timesheet.
Delete Allows user to delete line items on a timesheet.
Modify Allows user to edit time on a timesheet.

Unsubmit Allows user to un-submit items on a timesheet.
View Allows user to view the timesheet module.

Warehouse

Add Allows user to add a Warehouse to the navigation tree in the Warehouse Module AND add items to their warehouse inventory.
Delete Allows user to delete a Warehouse in the module.
Modify Allows user to edit Warehouse information, and sort/organize the navigation tree for both the location and category trees. User can also add items to Work Orders and add related items to item record.
Search Allows user to view the search sidebar in the Warehouse Inventory module.
Update Controlled Inventory

Update Multiple Permission is not being used.
Upload Files Permission is not being used.
View Allows user to access the Warehouse Inventory module.



Warehouse Inventory

Checkbox Permission
Add Allows user to create new stock item records and associate locations with an item.

**Note: User must have "Modify" permission to add an item record and "Add" permission in Warehouse to create a new item.
Allow Inventory Update Allows user to update stock quantities for items manually. Users can add positive and negative adjustments from the item instead of via a Purchase Order.
Data Import

Delete Allows user to delete items in the warehouse inventory.

**Note: User must have "Delete" permission in Warehouse module as well.
Modify Allows the user to edit item record.

**Note: User must also have "Modify" permission under Warehouse to edit an item's top zone.
Search Permission is not being used.
Transfer Item
Allows user to transfer an item from one location to another location.

**Note: User must also have "Modify" permission to transfer items from one location to another.
Update Multiple
Allows user to use the "Multiple Edit" function.
