Add, Modify, & Delete Items on a Work Order - Work Order

Both stock and non-stock items can be added to a work order for cost tracking purposes as well as to keep inventory counts accurate. For more information on stock and non-stock items, see the article Stock vs. Non-Stock Items - Warehouse Inventory.

Add Stock Items to a Work Order

As of NEXGEN version 12, adding items to a work order takes on a form much like shopping on an online storefront. For more information with detailed steps and descriptions, see Add Items to a Work Order - Work Order.

To add stock items to a work order:

  1. Click +Add in the Items zone.
  2. Find parts by searching, using the location/category tree, using the radio buttons, or using filters. 
  3. Select the part(s) you want to add to the work order by checking the box(es). 
  4. Click Attach.
  5. Fill out estimated or actual units. Which one you need to fill out might be dependent on your specific workflow.
    1. Estimated units refer to items you anticipate needing.
    2. Actual units refer to the quantity of this item you actually used.
      1. If your organization uses controlled inventory, you will NOT be able to select actual units. Instead, you can enter in estimated units and a purchase requisition will be created for the items you need. They will be issued upon the approval of a supervisor.
  6. Click Attach.
Tip: To add items faster, you can use the Items Attached to Asset feature to preload a list of items that have been previously associated to the asset you're working on. To associate items to an asset, add items to the asset in that asset's record.

Add Non-Stock Items to a Work Order

To add non-stock items to a work order:
  1. In the Items zone, click the drop-down arrow next to +Add.
  2. Select Add Non-Stock.
  3. Select an existing non-stock item from the menu or click the + button to add a new non-stock item.
  4. Click Attach.
  5. Enter the estimated or actual units and the unit cost.
  6. Enter an account number, if applicable.
  7. Click Attach.

Edit or Delete an Item from a Work Order

To edit or delete an item on a work order:
  1. Go to the Items zone.
  2. Click the drop-down arrow next to the item you'd like to edit or delete.
  3. Select one of the options in the menu.
    1. Click Add Actual Units to add actual units.
    2. Click Add More to add additional estimated or actual units.
    3. Select Edit to edit item details.
    4. Select Delete to remove the item from the work order.
Note: You will not be able to delete an item if it is part of an active purchase requisition.
