Release Notes

Major Updates

  1. NEW Web, Tablet, and Phone App Dashboards - Our NEXGEN applications are getting a major Dashboard update! Web users will be able to pick from 4 specialized Dashboards focused on specific roles (Asset Manager, Customer Service, Maintenance Worker, Warehouse Manager). Mobile devices will also get Dashboard updates that provide customization options and a new "My Team" tab. Learn more in the Web/Mobile sections below.
  1. Updated Scheduler Module and Supporting Features - Get ready to plan, schedule, and assign work orders in style with NEXGEN's new and improved Scheduler module. The new feature rollout includes a new shift feature, Actual and Estimated start date fields on work orders, and a new calendar view that allows Planners to schedule out work for an individual employee.
  1. NEW Automation Workflow Module – Tired of having to manually update fields or create Linked Work Orders? With the new Automation Workflow module, users can create workflows with custom conditions and actions. For example, you can create a workflow that automatically creates a linked work order when a work order with a Safety tag is created.
  1. NEW Asset Refurbishment Workflow - Instead of completely replacing an asset record, you can now refurbish an asset and "reset" the asset's ACI to extend it's life in NEXGEN. This new update comes with additional features in the Warehouse Inventory and work order module!
  1. Employee Location Sharing (BETA)* – To expedite service request and work order assignments, NEXGEN has incorporated a feature to visualize employee locations in our new Dashboard map views. Employee locations will only be visible if the employee has enabled location services and if the proper user group settings have been enabled.*This feature is currently being released as a BETA feature for early access testing and may be re-released with major updates. Clients hoping to implement this feature should be aware that the feature may undergo additional changes in future releases.

NEXGEN Web Application

  1. New Dashboards – NEXGEN now offers different dashboards that put the most relevant information at the forefront depending on your role. These include the Asset Manager dashboard, Customer Service  dashboard, Maintenance dashboard, and Warehouse Manager dashboards.
    • Asset Manager Dashboard
      • View quick metrics on asset data including total assets, locations, classes, processes and view quick metrics including "Top 10 Highest Risk Assets" and "Top 10 Highest Maintenance Cost Assets."
    • Customer Service Dashboard
      • Focus on Service Request data in our new Customer Service Dashboard. View total active Service Requests as well as Average Resolution time for Service Request records. Pin critical Service Requests on your dashboard to track them overtime and ensure they are resolved quickly.
      • Customize the work that is visible on your dashboard with our Service Request, Work Order, Condition Assessment, and Inspection toggles. Switch between My, Team, and All Work by using the Dashboard toggles. Drill down on existing work assignments by status or priority and customize which statuses are visible all from your Dashboard.
    • Warehouse Manager Dashboard
      • Review Inventory Requisition, Inventory Reorder, Cycle Count, Purchase Order, and Purchase Requisition information from the Warehouse Manager Dashboard. Filter by Warehouse/Location and search across multiple modules all from your Dashboard.
  • Saved Maintenance Dashboard Preferences – 
    Preferences you apply to the NEW maintenance dashboard in NEXGEN, such as preferred module visibility, will now be able to save between devices. This allows you to carry over your dashboard preferences from web to mobile.
  • Asset Refurbishment Workflow – NEXGEN now offers a workflow to account for refurbishing assets. This is triggered in the Asset Inventory and creates work orders using a new "Replace & Refurbish" type. The new update allows asset condition scores to be adjusted as a part of the work order process to represent assets that were refurbished instead of replaced.
  • 811 Polygon Color Option* - Clients with an 811/DigAlert integration can now adjust the color of the polygon visible to end users. Not a fan of the blue? Feel free to modify it in your company option settings. *Please note this feature is only compatible for clients with an 811 Integration.
  • Warehouse Item Asset Flag and Class Designation – Warehouse items will now feature an "Asset" checkbox that can be toggled to indicate if assets are being stored as warehouse items. This flag is a part of a larger series of improvements coming to the new asset refurbishment workflow.
  • Scheduler 2.0 – With this new iteration of the Scheduler module, maintenance planners can easily review work order data gaps, schedule work out by week, assign work to teams, and review existing workloads. 
  • Shifts – You can now create custom shift schedules in the Lookups module that can be applied to employees. These shifts will reflect in the Employee and Scheduler modules to support work planning.
  • Workflow Automation – With the new Automation Workflow module located in Settings, users can create workflows with custom conditions and actions. For example, you can create a workflow that automatically creates a linked work order when a work order with a Safety tag is created.
  • Miscellaneous Cost Removed from Estimated WO Cost Totals – With this update, miscellaneous costs will not be factored into the estimated WO total cost – costs will only be counted in the actual total.
  • Actual Start/End Date vs. Estimated Start/End Date – Work Orders will now have Actual and Estimated Start/End fields. Estimated dates will be populated automatically the way Start and End dates currently are, while Actual dates will be used for planning and completion tracking.
  • Adaptable Asset Impact Index (AII) – Asset Impact Index variables can now be adjusted at the class level! Asset Managers can now determine impact variable percentages of different asset classes and view the Impact Index breakdown in the Risk and Asset Plan modules.
  • Asset Critical Flag – A new flag has been added to asset records to indicate critical assets. Users can manually update the asset critical flag or use Asset Impact Index values to influence the criticality rating of an asset. 
  • Asset Safety Flag – Assets can now be tagged as Safety assets using a new checkbox on the asset record. Safety assets added to work orders will automatically flag the work order as a work order with safety assets.
  • Asset Reason Field Update and New Asset Status – The existing Asset Reason field will now be replaced with a new Asset Status field with additional functionality. The Asset Status field will allow Asset Managers to determine an asset's active/inactive designation based on the status of the asset. Standard statuses will be utilized to help users affect the asset’s active state depending on its value. New standard status options have been added.
  • Manual Condition Assessment Weightage – If some aspects of a condition assessment are more important than others, you can now reflect that when configuring conditions by adjusting weightage individually. No need to tweak the scale column in CA type fields – just enter in the weightage you’d like to assign, such as 30% or 45%, and the system will do it for you.
  • Run Time Hours to Useful Life – Run time hours can now be accounted for when NEXGEN calculates useful life, remaining life, and ACI in the Asset Planning module. Users can input a maximum reading for an asset class to help determine the asset's remaining useful life.
    • Microsoft Excel Add-In – Users can pull Work Order and Service Request data directly from NEXGEN using the new NEXGEN Excel Add-In. Data tables pulled into Excel can be refreshed from Excel and manipulated into custom reports or exported and shared.
    • GIS Resync Flag – No need to worry about moving assets around your hierarchy tree and having your work be undone after a layer resyncs. Users can now decide whether asset Class, Department, Location, or Process information will be excluded from resyncing.
    • Purchase Requisition Module – We’ve made improvements to the inventory requisition process by incorporating purchase requisitions. Settings to enable Purchase Requisitions are in a site’s company options.
    • Spaces Module – This module allows you to load floor plans into NEXGEN, allowing for more flexibility when it comes to tracking assets and their records. Users must have an ArcGIS Indoors Spaces license to successfully configure the spaces module.
    • Spatial Query – Our Service Request and Work Order map views have been enhanced! Users can now select assets from the map to easily export service request and work order history for the selected assets.

    NEXGEN Mobile

    1. New Mobile Dashboard – We’ve completely revamped our mobile dashboards! Status indicators like Open and Complete will now be featured on the dashboard to help users identify what work is still pending. For teams that operate off of a "bench system", we've updated the mobile dashboards to feature a "My Team" tab. Users will now be able to easily see work assigned to them and to other members on their team. We have also added Inspections and Condition Assessments sections to the dashboard. Finally, we've made dashboards more customizable and have added toggles to "hide" sections that don't apply. Don't receive Service Requests? Now you can hide that section. 
    1. App Linking – Get text/email notifications from NEXGEN on your mobile devices? When tapping on a link to a NEXGEN record, your mobile device will now take you to the NEXGEN app instead of a web browser to save time. Work Order and Service Request links will take you directly to the record page! Links sent via the Microsoft Teams and Outlook applications will also redirect to NEXGEN mobile apps.

    1. Work Order Map/List View Changes – The Work Order module list view on mobile will now feature easily viewable pins to organize your work order queue. In portrait mode, users will be able to switch between a complete map view or toggle into a list view easily. Users that still prefer to see work orders in a list and map format simultaneously will see both when holding their device horizontally.
    1. Add Item to Work Order Screen Updates – We’ve enhanced the add item to Work Orders functionality on our tablet applications to emphasize item images! Users can now favorite items from the Add Items screen and can see recently used items when accessing NEXGEN via their tablet application.
    1. Mandatory Fields Now Visible on Mobile Devices - Users will now be able to distinguish between mandatory and non-mandatory fields on mobile devices. Mandatory fields will be indicated by a red asterisk.
    1. Asset Top Zone Details Available in Offline Mode – Users can now access the top section details of an asset record when in Offline Mode. Users can open the asset record in offline mode and make edits to standard fields.
    1. GIS Layer and Attribute Download - Users are now able to assign sync schedules to GIS layers and map data for use in offline mode. 

    NEXGEN 311 Portal Updates

    1. Multiple Geofences Now Available - 311 Portal Administrators can now add multiple geofences to their 311 Portal to fully represent their service areas.
    1. Notification Controls - Users can now indicate if they would like NEXGEN custom notifications or 311 Portal notifications to be delivered to portal users.
