These questions and answers were pulled from the New Feature Open Office Hours sessions held between February and March 2025. This information applies to NEXGEN version 14.0.
Is the Spaces module available?
Yes, as of version 14.0, the Spaces module is available.
Are pinned items only available for service requests? I can't seem to find them for work orders.
Yes. Pinned items are a new feature that are only available for the Customer Service dashboard so far. We are open to feedback on this new feature.
Mobile users report they were able to view the last 5 WOs that they were working on, and now they can only see two. Did that change with the new release?
Yes, this was intentional. We understand that some want this change to be reverted and have noted this for internal discussion.
How do you turn the map on and off on the customer service dashboard?
You can do this through Settings in the User Groups section. You can select whether the map is visible or not and apply that setting to the entire user group.
Can you create or modify an existing asset and then "move" them to warehouse?
Unfortunately, no -- the assets have to be recreated in the Warehouse module.
No, comments on closed and completed records are filtered out.
Is it possible to access inspections straight from the work order on the iPad rather than going through the asset itself? On the app, you can go from the inspection to the work order, but not from the work order to the inspection.
This is not a functionality as of now.
How do you see the other statuses on the dashboard?
Right now, on the web, you can only see five statuses total. You can modify some of the statuses that appear by clicking on the settings wheels in the panels and turning each status on or off.
The comments are viewable for the next seven days regardless of whether they were read.
When I am in the My Team tab, it doesn't show any service requests, but when I go to the All tab, my team has several.
The My Team tab shows work belonging to your immediate supervisor and the work of employees who report to that supervisor. The information displayed is not influenced by department or division.
Why do the numbers of pins and clusters on the map not match what is listed under the statuses?
Only work orders with an address or GIS asset(s) are shown on the map.
Why can I only see three statuses on my mobile dashboard?
Basically, this was because of the limitations of the space available on mobile devices' UI. As a workaround you can have any number of child assets rolled up to those parent statuses as needed, or go directly to the Work Order module to view everything.
There is no permission for this as of now. To note, replace and refurbish does have its own permission; everything else is included under the "Modify" permission.
Why can't I see "Replace Asset" in the Main Task options on a work order?
The main task is dependent on the WO Type. To see Replace Asset in the Main Task field, ensure the Task field says "Refurbish and Replace."
How do you decommission an asset if there is no replacement?
You can make the asset inactive and set its status to decommissioned.
Are users able to select the appropriate inventory number for a refurbished item?
Yes.
Is there an option to update the install date when replacing an asset?
Right now, Install Date is tied to WO Close Date. You can always update the install date manually if needed.
No, your subscriptions will carry over.
Yes.
Can you make reports out of inspections and assets with the Excel Add-In?
No, the add-in currently only supports work orders and service requests. There are plan to add other modules to the add-in in the upcoming calendar year.
How do you download the Excel Add-In?
Make sure the Developer tab is listed in your ribbon. In it, click Add-Ins. Search and add the NEXGEN AM add-in. (Note that depending on your organization, you might have to reach out to whoever manages your devices if you do not have the permission to manage your own add-ins.)
Why is my data not showing up in the Excel Add-In? Do I need to have filters applied?
You do not have to have filters applied to pull data, but it might take a while to display depending on how much data is being pulled. This is why data might not show up right away. To help the process, you can apply filters to limit the amount of data that needs to be pulled.
What field does the Date column on the Excel Add-In reports pull from?
The Date column pulls from the Created Date field.
What is the redirect URL for SSO users for the Excel Add-In?
Can you filter out divisions on dashboards?
You currently cannot filter out divisions; you can pick one department or division filter to apply or clear all filters to see everything across the site.
Will we be able to select multiple divisions in the department/division filter in the future?
This is not yet approved for our road map, but we will confirm.
Is there a timeline for the next hotfix?
As of today (February 27, 2025), the next hotfix for web is slated to release within the next two weeks. We do not have a timeline for the next mobile hotfix.
Have all bugs been worked out since the new release?
No, but we are currently working on squashing them and we will hopefully have an update on at least a couple come next session.
Are refurbished and new assets being treated in the same way in the system?
Essentially yes. If you want to differentiate refurbished and new assets, we suggest changing numbering and naming conventions, as there is no current flag to indicate an asset was refurbished.
Can you filter service requests on the customer service dashboard, such as to only see 811 tickets?
No, but we are aware that this is a desired feature. We are considering this for future implementation.
Can you set a continental shift using Scheduler (e.g., week one has shifts on Sunday, Wednesday, and Thursday and week two has Monday, Tuesday, Friday)?
No, this is not a use case we had considered. We will add this in in a future release.
Can you filter for more than one division in Scheduler?
Not right now.
Do the hours at the top of the columns in Scheduler update with estimated hours?
Yes, on both the employee card and the calendar.
Is there a report that can show what teams are going where?
Not yes, but we are aware a few clients currently handle this outside of NEXGEN and would rather do it all within our software. We will discuss this as a future feature.
When setting the Actual Start Date status in Company Options, when does the clock start?
The clock starts for any status you designate in the company options, including any of its sub-statuses. For example, if the status you selected to correspond to the Actual Start Date field is Open, the Actual Start Date field will populate whenever the record is moved into Open or any of its sub-statuses.
