Version 11.4

Version 11.4

Software Release (Version 11.4)

Key Updates!!

Some of our major updates include:
  1. NEW Estimated/Actual Cost Footers for Work Order Zones: Users will now be able to see the estimated and actual costs of resources, items, and miscellaneous costs. No need to calculate separately!
  1. UPDATED GIS Toolbar: The GIS toolbar has been redesigned. Now, the toolbar will be docked and will feature a simplified UI. Users will no longer have issues with toolbar items disappearing from view when increasing their zoom extent.
  1. NEW Linked Work Order Asset Option: Easily add assets to linked WOs when creating a new Linked WO. Instead of having to manually add the same asset to a Linked WO, a window pop-up will ask you to select the assets you’d like to carry over.
  1. NEW Automatically Attach Inspections and CAs to PMs/PdMs: Users will now be able to designate one Inspection type and Condition Assessment type to automatically attach to PM and PdM work orders.
  1. UPDATED Wildcard Search When Adding Items to WOs: Users will now be able to use the “%” sign to use multiple terms when trying to add items to WOs. Terms used with the wildcard operator “%” can be in any order. (Ex. To find any items with the words tool and pump in their name, type in “tool%pump”, regardless of the order in which these terms appear in an item name, the list will show all items with the words tool and pump in its name.)
  1. UPDATED Cancel and Close Work Orders with Roles Attached: Users will no longer need to replace roles with a resource in order to cancel or close work orders. Keep track of estimated costs for resources and roles not needed on work orders to better plan for the future!
  1. NEW Supersede Runtime Meter Schedules: Users can now organize PM meter schedules to supersede each other. Use the “Supersede Schedules” option on PMs to determine which meter reading supersedes the others. PM schedules with multiple meter reading schedules should be reviewed as the default setting for this feature is to have supersede turned on for multiple meter schedules on one PM.

Read on below to learn about ALL our new features and improvements by module and feature.

Asset Inventory

  1. NEW Process Area Hierarchy: Assets can now be organized by process! When adding assets to your asset inventory (or when bringing in assets via GIS), users can specify a Process Area for assets. Process Areas serve to organize assets in a hierarchy based on an asset’s relationship to a process instead of a class/location. For more information on process areas, please review the help article here.
  1. NEW Smart Numbering Feature: Easily create and maintain an asset numbering convention for your vertical assets. With NEXGEN’s new smart numbering feature, users can associate an acronym (4 digits max) for an asset’s location, class, and process area. Assets then auto-number based on the asset’s final location, class, and process area hierarchy.
  1. NEW Asset Inventory Sidebar Slider: Easily expand the width of the Asset Inventory sidebar by dragging the sidebar over. View your hierarchy without having to scroll to the side!

Condition Assessment

  1. UPDATED Add attachments per CA line item: Users can now add attachments per line item in the Condition Assessment module in addition to comments. Instead of adding attachments to the CA record overall, users can add attachments per condition to better evaluate an assets current CA score.
  1. NEW Condition Assessment User Interface: The new Condition Assessment UI will hide the existing weighted ACI column (a view only column) and will showcase advanced analytics (including trendlines, dials, etc.). Users will be able to see past CA scores from their new CA record and view CA trends over time without having to navigate to a different screen.
  1. NEW Sub-statuses for Condition Assessments: Condition Assessments will now contain a sub-status feature where custom statuses can be created to operate as NEXGEN’s standard statuses (New, Open, Hold, Complete, Cancel, Close).

Inspections

  1. NEW Add Attachments and Comments Per Field: Users can now add attachments and comments per inspection field. When filling out an inspection form, instead of adding comments and attachments to the attachments/comments zones as a whole, users can add comments per field. No need to have a separate "comment" box on all your inspections!
  1. NEW Conditional fields for Inspections: Conditional fields are now available in the Inspections module. These fields will only show up when certain options in the preceding field are selected.
  1. NEW Default Options for AutoComplete, DropDown, and ListBox Field Types: When configuring inspection fields, users can now designate a default option for DropDowns, ListBoxes, and AutoComplete field types. Create a default option of N/A or Blank, to help your end-users identify what needs to be entered.
  1. UPDATED Mandatory Fields Per Status on Inspections: Users can create mandatory fields per status for inspections. Make certain fields mandatory before closure or before changing to a new status.
  1. NEW Show or Hide Previous Values Option: Users can now configure inspections to show or hide previous values from previous inspection records.
  1. NEW Sub-statuses for Inspections: Inspections will now contain a sub-status feature where custom statuses can be created to operate as NEXGEN’s standard statuses (New, Open, Hold, Complete, Cancel, Close).

Predictive Maintenance

  1. NEW Add Multiple Assets to PdMs: Users can now add more than one asset to a PdM record. If assets require the same triggers to generate a WO, no need to create and maintain separate PdMs, just add similar assets to one record!
  1. NEW Link Inspections/CAs to PdMs: Inspections and Condition Assessments can now automatically be generated when a PdM fires. Users will be able to select one inspection type and Condition Assessment type per PdM.
  1. UPDATED Predictive Maintenance Module: Several improvements were made to the PdM module, including the PdM builder, internal and external triggers, trigger parameters, external data import, and PdM work order types.

Preventive Maintenance

  1. NEW Link Inspections/CAs to PM: Inspections and Condition Assessments can now automatically be generated when a PM fires. Users will be able to select one inspection type and Condition Assessment type per PM.

Scheduler

  1. NEW Scheduler Module User Interface: Improvements were made to the Scheduler module that will make it easier for users to schedule and manage work for employees, equipment, and crews. Our new scheduler module features multiple filter options, an overview dashboard, a planner view, and more!!

Service Requests

  1. NEW Service Request represented as polygons for Dig Alert/811 Integrations: Service requests can now be represented as polygons on the map for NEXGEN Dig Alert/811 integrations. With a few edits to your existing integration, users will be able to see the actual polygon in NEXGEN. Please reach out to our support team at support@nexgenam.com if you are interested in this feature.

Timesheet

  1. NEW Time-off Now Linked to Timesheet: Time-off periods entered in the employee “Time-Off” zone will now link to the Timesheet module. No need to enter your time-off in multiple places. Designate your time-off from your employee profile when you know your time-off is scheduled and it will automatically appear in your timesheet.

Work Order

  1. NEW Copy Asset to Linked WO: When creating a new linked WO, users will now have the option to copy the asset from the original WO. No need to add the asset separately, just confirm that you’d like to add the assets on the existing WO to the new WO and you’re done!
  1. NEW Asset Coordinates in Work Order History: Users can now save GIS asset coordinates on WOs to keep track of the specific location of an asset. Asset coordinates are saved only on the WO and can be used to help users find the specific location of an asset when completing work over a number of days.
  1. NEW Add Crew Types to Crews in Work Orders: Previously, users could assign a Crew, but not a Crew type. Now users can assign a Crew Type to a Crew.
  1. NEW Add Supervisor Types to Work Orders: Previously, users could assign a specific supervisor to a WO but not a Supervisor Type. This enhancement allows users to assign a Supervisor Type to Work Order to help when managing workloads and when creating/maintaining PM/PdMs.
  1. NEW Estimated/Actual Cost Footers for Work Order Zones: Users will now be able to see the estimated and actual costs of resources, items, and miscellaneous costs. No need to calculate separately!
  1. UPDATED Cancel and Close Work Orders with Roles Attached: Users will no longer need to replace roles with a resource in order to cancel or close work orders. Keep track of estimated costs for resources and roles not needed on work orders to better plan for the future!

311 Portal

  1. NEW 311 Translations: Additional languages are now available in NEXGEN 311 white-branded applications. Users will have the option to translate custom 311 sites. For more information on your white-branded 311 portal options, please reach out to support@nexgenam.com.

Other Improvements

  1. NEW Sync with a Specific Organizational Unit: Users now have the option to sync with a specific organizational unit as part of SSO through Azure Active Directory.
  1. NEW Disable Username Editing for Single Sign-On: Admins can now disable the editing of usernames for accounts originating from an Azure Active Directory integration. Limit any username formatting by turning on this feature.
