Stock Item Workflows - Warehouse Inventory

The NEXGEN software has multiple options for setting up a warehouse workflow for stock items. See the information below to learn about open warehouse, controlled inventory, and controlled inventory with approvals.

Open Warehouse

The open warehouse setup has the simplest workflow. With an open warehouse users can add items to work orders without prior approval and can adjust your item inventory.

Open Warehouse Setup

To setup your warehouse stock items inventory as an "Open" warehouse, follow the steps below.
  1. Click "Settings" from your NEXGEN dashboard.
  2. Click "Setup".
  3. Click "Company Options".
  4. Click "Inventory" from the sidebar options.
  5. Make sure the options below are NOT checked off:
    1. Stock Controlled Inventory
    2. Stock Approval by hierarchy

Controlled Inventory

The controlled inventory warehouse setup is more involved than an "Open" warehouse, but it allows for more control over your inventory. With controlled inventory, items can be requested when you have the "Stock Controlled Inventory" option selected and warehouse inventory adjustments happen through "Item Requisitions".

Controlled Inventory Setup

  1. Click "Settings" from your NEXGEN dashboard.
  2. Click "Setup".
  3. Click "Company Options".
  4. Click "Inventory" from the sidebar options.
  5. Check off the following option:
    1. Stock Controlled Inventory
  6. Make sure the options below are NOT checked off:
    1. Stock Approval by hierarchy

Controlled Inventory with Approvals

The controlled inventory with approvals warehouse is the most involved warehouse setup. When "Stock Controlled Inventory" is selected and when "Stock Approval by Hierarchy" is also selected, items must be requested from the warehouse and must be approved by a supervisor or administrator if the request is over a "Max Requisition" amount.

Controlled Inventory with Approvals Setup

  1. Set employee supervisors under Employee module.
  2. Set Max Requisition for employee and supervisor (Optional: Setup Requisition Approval Backups in case a supervisor is out)
  3. Click "Settings" from your NEXGEN dashboard.
  4. Click "Setup".
  5. Click "Company Options".
  6. Click "Inventory" from the sidebar options.
  7. Check off the following options:
    1. Stock Controlled Inventory
    2. Stock Approval by hierarchy
