To begin the meeting, we talked about our recent outreach activity for NEXGEN version 12 and recapped a lot of the big changes coming to the software, including one that might require action for you. See below for a list of related resources.

NEW Features Coming in NEXGEN Version 12!

Sub-Statuses in NEXGEN

As NEXGEN 12 is pushed out, custom statuses will be reconfigured to be sub-statuses to stock parent NEXGEN statuses. So, for example, if you have a custom status called "Assigned" for work orders in progress that are assigned to a user, you can have it reconfigured as an Assigned status under the Open bucket. This is a change that was previously available only in the Inspection and Condition Assessment modules, but is now being added to other modules in NEXGEN. See below for a list of notable sub-status changes.
  1. In Lookups, OptionID and OptionValue are no longer used to configure statuses. Instead, each sub-status will have a Status Name field and will be able to be assigned to a parent status using the Parent Status field.
  2. New sub-statuses are required to be assigned to a parent status.
  3. Color is locked to parent statuses. Sub-statuses will adopt the color of their assigned parent statuses.
  4. Each parent status now has a non-selectable option. NEXGEN Administrators can force users to select a sub-status instead of a parent status. For example, if administrators prefer granularity when placing records on HOLD, admin can tag the HOLD status as non-selectable in Lookups. This will require end-users to select the appropriate sub-status (e.g., Waiting on Parts, Waiting on Resource, etc.).

Add to Cart 

  1. We have enhanced the process of adding items to work orders by making it similar to checking out items on an online storefront. When you click "Add" in the Items zone of a work order, a slider pops out where you can add items to a cart and either add them to the work order or check them out as an inventory requisition (depending on whether or not you have controlled inventory toggled on for your organization's site).
  2. Images when adding items to a work order are larger to accommodate users who find it difficult to look at a lengthy, word-based list of items.
  3. Search and filter is more intuitive; you can use radio buttons to filter by Bill of Materials, Favorite Items, Suggested, and Recently Used.
    1. The "Items Attached to Asset" button is no longer visible; instead, you can select "Bill of Materials" to see any items that are associated to an asset when adding items to a work order.
    2. You can favorite items by clicking the heart-shaped icon on any item.
    3. You can see the amount of times an item has been previously used on a work order with the same asset/main task combination by viewing the number in the top right of the item's image. (Only visible when viewing the "Suggested Items" option.
    4. "Recently Used" option populates a list of items you've previously used in order of how recently you've used them. This list is created on a user-by-user basis.
  4. You can use the "Select Current Page" toggle to select all visible items without having to manually click the checkbox next to every one.
  5. You can search, filter, or view a hierarchy tree of items by clicking the Search, Filter, or Hierarchy Tree tabs in the top left of the slider.
  6. If you have controlled inventory on, you will be able to go through the checkout process, which involves filling out inventory requisition details. These details will be used to create an inventory requisition record in the Inventory Requisition module. Otherwise, you can add the items to your work order from your cart immediately.

Store Module Changes

Web

  1. The Store module now has a slider panels during the check-out process to mimic the process of adding an item to a WO. 

iPad/Android Tablet

  1. The Store module was added to NEXGEN tablet applications (iPad/Android Tab). To navigate to it, tap the NEXGEN Hot Spot and tap Store.
  2. You can view items in rows of six organized by category: Bill of Materials, Favorite Items, Suggested, and Recently Used. Tap View All next to any category to see all the items within that category.
  3. You can filter items by category by tapping any entry in the Top Categories section of the Store module.
  4. Just like the web application, if your organization is using controlled inventory, you can go through a checkout process to create an inventory requisition. If not, you can simply order the item on the spot.

Miscellaneous Changes

  1. In Inventory Requisition, the Waiting on Approval status is now called In Approval.
  2. Requested is no longer an Inventory Requisition status; instead, we have added Approved.
  3. The process for creating service requests has been updated to include more options. See the next webinar for more information.
