Make a UDF Internal or External - User Defined

Sometimes, there is information or data collected on a work order that should not be shared with people outside of the organization, or there might be information you would like to be visible to external contractors, but not internal staff.  This feature allows users to control which work order User Defined Fields (UDFs) are visible to internal staff only versus which ones should be visible to in external applications, such as Contractor Portal.

Make a UDF Internal or External

  1. Navigate to the User Defined Module. Click Settings > Setup > User Defined
  2. Create a new or open an existing UDF.
  3. Check Internal, External, or both. For details, see below.
    1. Internal Only: the field will be visible to NEXGEN users, but NOT to external users such as contractors
    2. External Only: the field will be visible to external users, but NOT to NEXGEN users
    3. Both: the field will be visible to both NEXGEN users and external users
  4. Click "Save."
