Import Asset Inventory Data

Import Asset Inventory Data

  1. Go to Settings > Data Import
  2. Click on Asset Inventory from the list of modules
  3. Select a Class or Subclass (Note: whichever class or subclass you choose will be the only one available in the class dropdown of the spreadsheet)
  4. Click Download Template
  5. The spreadsheet columns are the following and pertains to the fields in Nexgen
    • AssetNumber (only will show when Auto Number is off) - Asset Number
    • AssetName - Asset Name (mandatory and unique)
    • Secondary Name - Description
    • Department - Department
    • Class - Class
    • Category - Location
    • IsActive - Active
    • PurchaseCost - Purchase Cost
    • InstallDate - Install Date
    • WarrantyEpiryDate - Warranty Expires
    • ReplCost - Replace Cost
    • AssetConditionIndex - ACI
    • AssetImactIndex - AII
    • ScanCodeNo - QR Code
    • Address1 - Address 1
    • Address2 - Address 2
    • County - County
    • Zip - Zip
    • Phone1 - Phone 1
    • Phone2 - Phone 2
    • Fax - Fax
    • Email - Email
    • City - City
    • State - State
    • Country - Country
    • All User Defined Fields
  6. Go back to Data Import tool in Nexgen
  7. Click on the Class or Subclass uploading to
  8. Click Upload Data
  9. If the data on the screen looks like the way you want it, then click Import Data
  10. If any errors, then click on Download Error Data to Excel
  11. Fix the issues on the spreadsheet and re-import the file
  12. Check in Asset Inventory to make sure the Asset(s) imported are showing in the module
