Create a New Work Order - Work Order

Work Orders are records that track maintenance on one or more assets. When creating a work order, you want to fill out as much information as necessary in the Work Order Information zone to give everyone the info they need to complete the work. Work orders can also have assets, checklists, resources, parts, miscellaneous costs, sub-tasks, attachments, and comments associated with them.

Create a New Work Order

To create a new work order:
  1. Navigate to the Work Order module by clicking Maintenance > Work Order in the blue sidebar.
  2. Click +New in the upper left corner.
  3. Fill in the work order information.
    1. Number: Auto-filled with the next available work order number
    2. Requested By: Name of the employee requesting the work order
    3. Priority: Severity of the issue
    4. Status: Stage of work
    5. Date: Date/time the work order was created
    6. Start Date/End Date: Auto-filled date and time when work is scheduled to start or finish (based on SLAs)
    7. Actual Start Date/Actual End Date: Manually filled date and time when work is scheduled to start or finish
    8. Department/Division: Department and/or Division assigned to the work order
    9. Type: Categorizes type of work being performed (e.g., corrective or preventive)
    10. Main Task: The maintenance activity being performed on the work order
    11. Supervisor/Lead: The supervisor and/or lead assigned to the work order
    12. User-Defined Fields: Fields that capture additional information
  4. Click Save.
IdeaTip: Fields cascade! Assigning a crew first on a work order will auto-fill the Supervisor and Lead fields according to crew configurations. In the same vein, filling out the Lead field first on a work order will auto-fill the Supervisor field according to who is configured as the lead's supervisor. Take advantage of these rules to make filling out work orders a little quicker.

Tip: There are different date fields on work orders. Here are quick definitions for each of them.
  • Date: Work Order Created Date
  • Start Date: ("Estimated" Start Date, not manually editable, triggered by SLAs)
  • End Date: ("Estimated" End Date, not manually editable, triggered by SLAs)
  • Actual Start Date: ("Planned" Start Date) - Manually editable
  • Actual End Date: Manually editable, automatically generated on the date when a WO record updates to status Complete
