Add Attachments and Comments per UDF - Inspection

Users can add attachments and comments per line item on an inspection. This will allow for other users to be able to more clearly associate files or comments to specific data in NEXGEN instead of adding items with no context in the Attachments or Comments sections. As such, users as a whole will be able to understand the relevance of a given file or comment to its associated data. 

Note: Even with the “Show Comments/Attachments” flag turned on for inspection fields, you will only be able to add an attachment or comment to the field if the field has already been populated. In other words, the “+” button will not appear unless you have entered data into the field and clicked "Save". 

Navigating to the Inspection Module

To navigate to the Inspection module:
  1. From the NEXGEN dashboard, click "Assets" on the blue bar to the left.
  2. Click "Inspection."

Viewing the Inspection Details

The Inspection Details zone is where users can leave attachments and notes by line item. To view it:
  1. Open or create a Inspection.
  2. Scroll down to the Inspection Details zone. Items here will be listed according to condition type.
  3. There will be an icon next to each line item in this zone.

    1. The + icon indicates that there are no attachments added to the line item. Click it to add one.
    2. The paperclip icon indicates that there is an attachment added to the line item. The number next to the paperclip indicates how many attachments were added. Click this icon to view or add more attachments.
    3. The speech bubble icon indicates that there are comments added to this line item. Click the icon to view this comment or add another.

Adding an Attachment or Comment

To add an attachment or comment:
  1. Locate a line item using the steps in the section above.
  2. Click on the icon next to the line item.
    1. This might be a + sign, a paperclip, or a speech bubble icon depending on what is already attached to the line item.
    2. To add an attachment, click "+ Attach File."
      1. You can choose "Select File" to add a file from your computer or "Add From Library" to add from NEXGEN's Document Library.
      2. Once a file is added, click the Download icon to download it to your PC, or click the trash can icon to delete it.
    3. To attach a comment, click "Edit" in the NOTE section.
      1. You will be able to add a note up to 1000 characters in the text field.
      2. When finished, click the checkmark icon to confirm or the X icon to cancel.
