Add or Edit Asset Attributes - User Defined
If you want to add an asset attribute to assets in a given class, you can do so in the User Defined module. You can also edit asset attributes in the same module. These fields will be present in the record of any asset within a given class, allowing for you to be able to add more asset information as needed.
Navigate to the User Defined Module
To navigate to the User Defined module:
- From the NEXGEN dashboard, click the Settings icon in the blue navigation bar to the left.
- Click "Setup."
- Click "User Defined."
Add an Asset Attribute
To add asset attributes in the User Defined module:
- Click the drop-down arrow next to "Class" in the hierarchy tree to the left.
- Drill down and click on the class you would like to add an attribute to in the list.
- Click "+Add" on the right side of the screen.
- A pop up will appear. Fill out the fields.
- Enter a Name for your new attribute.
- Enter a caption.
- Select a field type. The data type will autofill according to the field type.
- Select the length for the data.
- Check the checkboxes.
- Mark the field as mandatory if you want to obligate users to fill it in.
- Mark it as editable to ensure users can edit the field.
- Mark it as hidden if you would like to hide the attribute from the asset record page.
- Check off "Show in Search" if you would like this asset attribute available as an option in the drop-down menu of the Search section (i.e. to be able to filter for this asset attribute when searching asset records).
- Check off "Internal" if you would like internal NEXGEN users to see this attribute.
- Check off "External" if you would like external users (e.g. Contractor Portal users) to see this attribute.
- When finished, click "Save." This asset attribute will now be visible in the records of assets part of the class you selected.
Edit an Asset Attribute
To edit an existing asset attribute in the User Defined module:
- Click the drop-down arrow next to "Class" in the hierarchy tree to the left.
- Drill down and click on the class for which you would like to edit asset attributes.
- Click the drop-down arrow next to an existing asset attribute in the list.
- Click "Edit."
- A pop-up will appear where you can change asset attribute information. Make any edits as needed.
- Click "Save" to save your changes.
